Request procedure
For Heritage Leiden and Surroundings (Erfgoed Leiden en Omstreken), it is important that its collection is accessible to all. To this end, this city archive will cooperate in the free loan of its documents, prints, library items, and archaeological and historical objects for the purpose of exhibitions and similar functions. We will welcome your loan application. Please take into account the following points:

  • Can you fulfil our Terms and Conditions of Loans?
  • Please submit your loan request at least six months before the start of your exhibition to Mrs. A.H. Netiv, Director Erfgoed Leiden en Omstreken, Postbus 16113, 2301 GC Leiden.

Please add the following information:

  • Name and address of the applying organisation;
  • Name, function and contact details of a contact person;
  • Name of the exhibition;
  • Exhibition period;
  • Exhibition location (please include a facility report where this exists);
  • List of requested objects with their item and/or inventory numbers;
  • Motivation for the request.

Costs

The Lender must take into account the following costs:

  • Insurance of the objects during transport and the exhibition period;
  • Valuation of the objects by a registered valuer for the above-mentioned insurance;
  • Transport by a recognized art handler;
  • Any travel and subsistence costs associated with visits, accompanying the object(s) and installation by our staff.
  • Reproduction or digitalisation of the object(s).

Procedure

Your loan request will be dealt with in the following stages:

  • The Director of Erfgoed Leiden en Omstreken will pass your request to the Loan Coordinator. The Coordinator will consult with the collection curators to see whether the objects are available, and ask the advice of the restorer to see whether the physical state of the object would allow it to be loaned out;
  • When the above advice is positive, the Coordinator will have the object(s) valued, and will draw up a loan agreement;
  • If the above advice is negative you will be informed as soon as possible;
  • The Loan Agreement will go to the Director, or his deputy, for approval and signature;
  • The restorer will prepare a condition report, and will pack the object(s) and contact you with regard to transport.
